Try a simple solution for complicated charity expenses
Traditionally, many day-to-day tasks have been carried out on a manual basis, but Covid-19 has put paid to this practice.
As such, charities have started to look to technology to help them overcome some of the more basic tasks that help keep the wheels of the organisation turning.
One of the ways in which the charitable sector has been able to do this is with the support of expense management software.
By replacing conventional paper-based activities with digital processes, charities can gain real-time insights into spending, control budgets and track every penny spent.
How can I control spending?
You have the option to roll out Expend Mastercards to each employee, equipped with unique spending limits and security controls.
Expend Mastercards can be used anywhere, anytime – or you can set limits to restrict spending online, in certain categories such as pubs or bars, or at weekends.
With customisable budgets and real-time tracking, you will retain control of spending while providing flexibility to your teams – removing the need for staff to fork out of their own pocket or handle physical cash too.

How does it work?
With Expend, you have the flexibility to provide our free smart Mastercards to your team members, each with customisable spending limits ensuring purchases are made within set parameters only.
Alternatively, users can create reimbursement claims if they pay using their personal bank cards or cash within the mobile app.
Users create an expense report in the mobile app, attach a photo of the receipt or invoice, add any further notes and assign the expense to a category or group.
Instantly available for review, you can track expense claims at any point throughout the month (saying goodbye to those end of month surprises!)
You go the extra mile, so do we
Mileage tracking is another useful feature in the mobile app.
Users simply input where they started the trip and where they end up, and we’ll do all the bits in between. Whether personal or company vehicles are used, all mileage claims will be calculated using the recommended HMRC rates and will be adjusted depending on the distance travelled by the user in the tax year.
Journeys can be split into different legs using our Google Maps integration and return journeys set in just one tap.

Absolutely! Expend has been created to cover every instance of expense management headaches within a business.

It's easy to use, and I like the linking to credit cards, meaning we don't have to add in as many details about each expense.

Outline of issues:
Their way of operating changed overnight due to COVID-19. Previously volunteers for the charity took the elderly shopping to buy their weekly shopping. However, when the new rules came into effect, advising certain groups to self-isolate, this was no longer possible. So they switched their service around and recruited volunteers to do food shopping for vulnerable people who had no support or were unable to get a grocery delivery slot.
How Expend has helped:
The charity wanted to find a solution that didn’t rely on cash exchanging hands, to safeguard against the spread of the disease. They also wanted to protect their users from doorstep scams, which unfortunately had increased as a result of COVID-19. Expend’s payment cards to solve this challenge.
Used like a debit card by key volunteers, the payment cards provide a holistic view of spending. The organisation can keep track of how much they are spending where and on who.
They can also capture the information in the Expend app in real-time. The Expend cards provide complete transparency. The charity can see and easily share information on what is being bought for their customers. The charity also has the ability to apply smart rules to each card. This means they can set a different spending limit for someone carrying out shopping for 10 people, versus one.
